For the synchronization please be aware of following:
- The synchronization of Contacts is based on the Creation / Modification Date of the according record.
- The synchronization of Appointments is based on the Appointment Date Range of the according record.
- The synchronization of Tasks is based on the Due Date of the according record.
- Due to the fact that the synchronization date range (+/- 1 week etc) changes with each day or manually by setting the filter, records can fall out or into the filter without further changes. A full synchronization can be necessary from time to time to catch such records.
There are 3 kinds of synchronization:
- First synchronization
- Following synchronization
- Full synchronization
And we need to distinguish between synchronization:
- From Outlook to CRM
- From CRM to Outlook
Due to the fact that the data model of CRM On Demand and Outlook is slightly different,
the synchronization mechanisms are slightly different in both directions.
Synchronization of Contacts:
- First Synchronization takes all records from CRM On Demand and transfers them to Outlook, and takes all records from Outlook and transfers them to CRM On Demand.
- Following Synchronization synchronizes all changed records since the last synchronization in both directions.
- Full Synchonization works like the first synchronization.
- The Synchronization filter „Date Range“ is not taken into account for Contacts
Synchronization of Tasks:
- First Synchronization takes all records from CRM On Demand and transfers them to Outlook as far as the due date of the task is within the filter „Date Range“, and takes all records from Outlook and transfers them to CRM On Demand as far as the due date of the task is within the filter „Date Range“.
- Following Synchronization synchronizes:
– All new records in the filter date range from Outlook to CRM.
– Records that were already synchronized and changed since the last synchronization from Outlook to CRM.
– All changed records since the last synchronization from CRM to Outlook, independent of the filter date range. - Full Synchonization synchronizes:
– All records that were synchronized before again and all records that were not yet synchronized and are within the filter date range from Outlook to CRM.
– All records that have a due date in the filter date range from CRM to Outlook.
Synchronization of Appointments:
- First Synchronization takes all records from CRM On Demand and transfers them to Outlook as far as the date of the appointment is within the filter „Date Range“, and takes all records from Outlook and transfers them to CRM On Demand as far as the date of the appointment is within the filter „Date Range“
- Following Synchronization synchronizes:
– All new records in the filter date range from Outlook to CRM.
– Records that were already synchronized and changed since the last synchronization from Outlook to CRM.
– All changed records since the last synchronization from CRM to Outlook, independent of the filter date range. - Full Synchonization synchronizes:
– All records that were synchronized before again and all records that were not yet synchronized and are within the filter date range from Outlook to CRM.
– All records that have a due date in the filter date range from CRM to Outlook.
