Recap OCR
The following story describes the missed and the potential opportunities of a day in the life of an accountant. I want to showcase the incredible value, that OCR can have on this day. There really is no better fit and in the end you’ll probably think of this more as a love story than anything else. But first, let me remind you of what Optical Character Recognition actually means.
Optical character recognition …
describes the transformation and conversion of handwritten or electronic images into machine encoded text. An OCR document is searchable and accessible at all times. It has the perfect shape to fit into an organized document management system. When you transform your documents, you can literally turn metadata which is spread around your stack of documents into the most pleasant and useful data you can imagine.
the accountant
He analyzes, compiles and evaluates data all day. From the moment he reaches his desk he reviews document after document to maximize the value he can create with the given data.
First, the accountant has to collect all information out into a unified form. Then he is able to evaluate whether this data is useful or not. Only after that, the accountant can decide, whether it makes sense to use the data or not. All of those steps literally cost time and therefor money. Is there no way around all of this preparation? What if the accountant would find all of this data in an organized and structured form in the first place?
Thit is where Optical Character Recognition shows it’s massive value!
A document management system, filled with OCR documents, ticks all the boxes an accountant needs it to, to work as efficient as possible.
By transforming your document, all the data that can be relevant for you is easily accessible and searchable in the first place. Also, you will find your documents are a lot easier to organize and to deal with in the long run.
If every single document – invoice, forecast sheet, a.s.o. – that makes his way to the accountants desk, could be transformed before he even takes a look at it, the time and therefor money – which I mentioned before – could be saved all along. Therefor the accountant – at any times – cloud focus on what’s really important to him. He would not have to spend his precious time to first organize and collect data, but he could go straight into analyzing it and using the datas full potential.
In the next blog, this relationship will be clearly explained with an example! Be curious!
